Applicable to Both In-House and Outside Catering Services Provincial Road, Purok Datu, Bulanao Norte, Tabuk City, Kalinga, Philippines

1. Booking and Reservation

To confirm catering services, the Client must secure a reservation under the following terms:

  • A 20% non-refundable deposit is required to confirm and secure your reservation—whether made online, in person, or through other channels. For online reservations, the deposit must also be settled through an online payment method

  • For bookings made within three (3) days of the scheduled event, a 50% deposit is required.

  • The remaining balance shall be paid in full prior to the event date or upon check-in, whichever is earlier.

  • Accepted payment methods include:

  • Cash

  • Digital Wallets (e.g., GCash, PayMaya, PayPal)

  • Card payments

  • Bank transfers

  • Checks dated on the day of payment (Postdated checks are not accepted)

 

2. Scope of Services

The Service Provider agrees to deliver catering services that include, but are not limited to:

  • Provision of breakfast, lunch, dinner, and snacks for the confirmed number of guests.

  • Set-up and arrangement of the venue in accordance with agreed specifications.

  • Full-service event accommodation for in-house catering, including venue setup, food service, and post-event cleanup.

  • For outside catering, services include food preparation, delivery, set-up, serving staff, and optional aftercare/clean-up depending on location and event size.

 

3. Guest Capacity

  In-House Catering:

  Kingsquare Davidson Hotel and Restaurant offers six (6) function halls of varying sizes to accommodate different               event   requirements:

  • Celina Hall – Up to 15 guests

  • Paula Hall – Up to 30 guests

  • Akami Hall – Up to 45 guests

  • Cristina Hall – 50 to 80 guests

  • Beulah Hall – 80 to 100 guests

  • Keilah Hall – 100 to 150 guests

Note: Actual capacity may vary depending on the chosen layout, program flow, and event setup.

Outside Catering:

  • A minimum of 100 guests is required.

  • Up to 200 guests can be accommodated, subject to availability.

 

4. Inclusions and Setup

In-House Catering:

  • Use of the selected function hall (note: a separate venue rental fee applies if no catering package is availed).

  • Food preparation, full event setup, basic tableware, serving staff, and post-event cleanup.

Outside Catering:

  • Includes food preparation, transport, full service setup, and serving staff.

  • Additional charges may apply based on transport requirements, extended service, and post-event care.

 

5. Menu and Customization

  • Customized menus are available and may be tailored to the specific needs of the event.

  • Cuisine options include Filipino and American dishes.

  • The Client must inform the Service Provider of any dietary restrictions or food allergies at least five (5) days prior to the event.

  • Final menu selections must be confirmed no later than one (1) week before the event date.

  • The Service Provider reserves the right to make reasonable substitutions if certain ingredients become unavailable due to circumstances beyond their control.

 

6. Event Packages

Catering packages are available for the following occasions:

  • Weddings

  • Debuts

  • Birthdays

Each package includes menu options, styling themes, and optional add-ons tailored to the event type.

 

7. Food Tasting

  • Food tasting may be arranged one (1) day prior to the event upon advance request.

 

8. Equipment and Add-Ons

The following are included in catering packages:

  • Tables and chairs

Optional add-ons are available for an additional fee and include:

  • Sound system

  • LED walls

  • Themed decorations

  • Tents

Clients may also provide their own equipment, subject to prior coordination and approval.

 

9. Staff and Service

  • All catering packages include professional serving staff.

  • For outside catering, post-event cleanup and aftercare may be arranged depending on the event's scale and location.

  • Events that exceed the standard eight (8) service hours will incur additional charges, whether in-house or outside catering.

  • For in-house catering: Additional hourly rate based on the hall’s rental fee divided by 8, plus ₱500 per service staff (regardless of hours extended).

  • For outside catering: ₱500 per service staff (regardless of hours extended).

10. Corkage Policy

Clients who wish to bring in outside food or drinks are subject to corkage fees, which will vary depending on the type, quantity, and quality of the items.

  • All outside food or beverages must be declared and assessed at the front desk before being brought into the venue.

  • Corkage fees will be determined by the receptionist or authorized staff at the time of entry.

  • Undeclared food or beverages may be subject to penalties or refusal of entry.

 

 

11. Beverage Service

  • A selection of beers is available for catered events.

  • Mixed drinks and liquor are not included in any catering package.

12. Guest Count Guarantee

  • The Client must confirm the final number of guests no later than five (5) business days prior to the event.

  • Changes made beyond this deadline may be subject to additional fees.

 

13. Cancellations and Postponements

Hotel Room Reservations:

  • 100% refund for cancellations made at least seven (7) days before check-in.

  • 50% refund for cancellations made at least three (3) days prior to check-in.

  • No refund for cancellations made within 24 hours of check-in.

Catering Services:

  • The 20% deposit is non-refundable under any circumstance.

  • Cancellations made less than one (1) week before the event result in forfeiture of the deposit and possible cancellation of all services.

  • Cancellations made within three (3) days of the event are non-refundable and may be charged in full.

  • Postponements may be granted based on schedule availability and timing.

 

14. Use of Venue

  • The Client is responsible for any damage to the venue or rooms caused by guests during the event.

  • The venue must be vacated at the agreed-upon time unless prior arrangements are made.

  • Extended use of the venue beyond scheduled hours will result in hourly charges for hall use and additional staff compensation.

 

15. Liability and Force Majeure

  • The Service Provider is not liable for any injury, loss, or damage incurred by the Client or guests during the event.

  • Neither party shall be held liable for non-performance due to events beyond their control, including but not limited to natural disasters, pandemics, or government restrictions.

 

16. Data Privacy

  • All client information will be handled with strict confidentiality and used solely for the purposes of event coordination.

17. Entire Agreement and Governing Law

  • This document outlines the full terms and conditions between the Client and the Service Provider, and supersedes any prior discussions or agreements, whether oral or written.

  • Any modifications to these terms must be confirmed in writing and acknowledged by both parties.

  • These terms shall be governed by the laws of the Republic of the Philippines, specifically those applicable in Tabuk City, Kalinga.
